COACH ONBOARDING

Welcome to the Learn2Ride Coaches App

The tool you'll use to propose new workshops and see who's signed up for the ones you're coaching.

What you need
A Google account.
That's it.
How long it takes
5 min if you have one,
10 min if you don't
1

Do you already have a Google account?

You have a Google account if any of these apply:

If yes → skip to Step 3.

If you're not sure, try going to drive.google.com. If it asks you to sign in and you don't have a password to type, you don't have one yet. Continue below.

2

Make a Google account (skip if you already have one)

This is free and takes 5 minutes. You can use an email address you already own — it doesn't have to be a new @gmail.com address.

  1. Open accounts.google.com/signup in your browser
  2. Pick "Use my current email address instead" (small link below the username field) if you want to keep your existing email. Or leave it as the Gmail option if you'd like a new @gmail.com address.
  3. Fill in your name, choose a password, finish the prompts
  4. Google will send a verification code to your email — type it back in
You now have a Google account. Write down the email address and password — you'll need them every time you sign in to the Coaches App.
3

Tell admin your Google account email

This is the most important step.

Text or email admin (317-281-8479 / info@learn2ride.us) and say:

Hi — the Google account email I'll be signing in with is <your email here>. Please add me to the Coaches App.

Make sure this is the exact email you'll be signing in with — not just your everyday email. If you used "Use my current email" when making a Google account in Step 2, that's the email you want here. If you made a brand-new @gmail.com address, send that one instead. The two have to match exactly or the app will refuse to let you in.

Admin will add you to the access list. Until then, the app will show you a "Not authorized" message when you try to sign in.

4

Sign in to the Coaches App

Once admin confirms you've been added:

  1. Open www.learn2ride.us/coaches in your browser (Chrome works best; Safari and Edge work too)
  2. Sign in with your Google account — the same email you sent in Step 3
Heads up — Google will walk you through five permission screens before letting you in. One-time setup, takes about 60 seconds. Some screens look a little scary because the Coaches App is custom-built for Learn2Ride (not published through Google's app store), so Google flags it as unverified. It's fine — we built it in-house, and we walked through this exact flow ourselves.

Here's what to expect on each screen:

1

"Authorization needed"

A small box from Google Apps Script that says "Learn2Ride Coach App (Unverified)".

→ Click the blue REVIEW PERMISSIONS button.

2

"Google hasn't verified this app" (red triangle)

This is the scariest-looking screen. Your only obvious option is BACK TO SAFETY — don't click that.

→ Instead, click the small Advanced link in the bottom-left.

3

Same warning, with one more link revealed

After clicking Advanced, scroll down a bit and you'll see a new link.

→ Click Go to Learn2Ride Coach App (unsafe). The word "unsafe" is just Google's blanket label for any app it hasn't verified — it doesn't mean the app is actually unsafe.

4

"Sign in to Learn2Ride Coach App"

A clean-looking screen showing your account name and email. It says Google will share your email address with the app (used to check you're on the coach roster).

→ Click Continue.

5

"Select what Learn2Ride Coach App can access"

A list of permissions with unchecked boxes next to each one. They sound broad ("See, edit, create, and delete all your Google Sheets spreadsheets", etc.) — that's standard for any custom Google app. The app only ever touches the one Learn2Ride coaching spreadsheet, never your personal stuff.

→ Click Select all at the top of the list (this ticks every box at once). Then scroll down and click the blue Continue button at the bottom.

Done!

You should land on the Coaches App home screen with your name in the top corner.

Bookmark this URL (www.learn2ride.us/coaches) so you don't have to type it next time.

Did you get a yellow NOT AUTHORIZED sticker card with your email on it? That means you signed in successfully but you haven't been added to the coach roster yet (or the email admin added doesn't exactly match the one you signed in with). Text admin the email shown on that card.

WHAT YOU CAN DO

Inside the app

Propose a workshop

Pick a date, time, location, and your name as the coach. The app creates a draft, and admin gets an email to review and approve it. Once admin clicks "Approve & Publish," the workshop goes live on learn2ride.us and parents can buy tickets.

See your upcoming workshops

Once parents start signing up, you'll see the roster with their child's name, age, and any special notes.

Mark progress after a workshop

Short post-workshop notes (which level the child completed, what bike they used, anything notable) so admin and parents stay in the loop.

COMMON QUESTIONS

FAQ

Do I need to install anything?
No. The app runs in your browser. Just open the URL and sign in.
I see "Not authorized" — what do I do?
Most likely your email hasn't been added yet, or the email you signed in with isn't exactly what you sent admin (e.g., you signed in with a personal Gmail but sent your work email). Text admin and double-check the email matches.
Can I use the app on my phone?
Yes. It works on mobile browsers. Some forms are easier on a laptop because of the wider screen, but submitting a workshop or checking the roster works fine on a phone.
I forgot my password.
That's a Google password reset, not a Learn2Ride thing. Go to accounts.google.com and click "Forgot password?".
What if I want to use a different email later?
Text admin to swap it in the access list. Don't try to sign in with two different emails — only one will be authorized at a time.
That's it!
Welcome to the team.
